Classic Google Sites editing ends Dec. 1, convert to new Google Sites ASAP

11/3/2021

On May 15, 2021, Google ended classic Google Sites creation. Since then, new Google websites have only been created in new Google Sites. Beginning December 1, 2021, the ability to edit your remaining classic Sites will be turned off. This change includes the ability to update sharing permissions.

We highly encourage you to begin converting your classic Google Sites to new Google Sites as soon as possible. The longer you wait to make the transition, the greater the possibility for data loss in 2022.

U-M Google September Monthly Summary

The monthly U-M Google summaries inform the university community of new Google releases and previously communicated updates.

Updates:

This feature enables you to access embedded Microsoft Office files within your existing Office files from Docs, Sheets, and Slides. You can view the files in preview mode, copy an embedded file directly to Google Drive, or download it. Learn more about how to work with Office files using Office editing.

This feature enables you to mark non-Google file types, like PDFs, images, and Microsoft Office files, available offline when using Google Drive on the web. This feature is already available for Google Drive for desktop users. Learn more about enabling and using Google Drive files offline.

Now you can customize your form settings with a more visible Settings tab and an improved settings layout.

In new Google Sites, you can now restore a specific page from version history. Previously, you could only restore an entire site. Learn more about deleting or restoring in new Google sites.

Google added a new settings panel in Google Meet for quick access to effects such as background blur and background images during Meet calls. Open the panel from the three-dot menu and select "Apply visual effects.” This panel will also be available before joining a call. Learn more about previewing how you look and sound before a Meet session.

Google has brought their new design schema, Material You, to Google Workspace apps on Android devices. Material You features an updated look and feel for your apps, along with additional options for personalization. 

There is an improved mobile viewing experience for Google Slides on iOS. You can now scroll through a vertical stream of slides, pinch to zoom to get a closer look, and easily switch between editing, presenting, or casting content. 

You can now mute all Meet participants at once from the Meet mobile app. Previously, you could only do this in Meet on the web. Note that meeting hosts and co-hosts are the only users in a meeting who can use the “mute all” feature. Once all participants are muted, hosts and co-hosts cannot unmute them. Google has increased the comment size in Docs to a maximum of 50 characters. Comment width will intelligently scale based on your browser window to maximize the use of available screen space.

You can now replace your background with a video in Meet on Android. This feature is already available on Google Meet on web and iOS.

Create custom themes and templates in new Google Sites

Google has announced the addition of custom themes and templates to new Google Sites! Custom themes allow you to create customized sets of fonts, text styles, colors, buttons, and more that you can save and use for future sites. Refer to the Google Help Center for more information on creating custom themes.

Custom templates, a long-awaited feature from classic Google Sites, allow you to create new Google Sites layouts that you can upload to the U-M Google Template Gallery for future use. Unlike custom themes, the custom Template Gallery is publicly available to anyone in U-M Google, meaning anyone with access to U-M Google Drive can upload or copy templates from the gallery. Refer to the Google Help Center for steps to create custom templates and upload them to the Template Gallery.

You can also share a template preview with collaborators by adding “/template/preview” to the end of the site URL. This will allow any collaborator with read or edit permissions to view or copy the draft site without uploading it to the Template Gallery first.

According to Google, custom templates should now be available, and custom themes should begin showing up in U-M Google on October 6, 2021, and could take three days or longer to become fully visible.

The monthly U-M Google summaries inform the university community of new Google releases and previously communicated updates.

Updates:

  • New font in Workspace improves accessibility for vision-impaired

Google has added the Atkinson Hyperlegible font to their products, a font optimized for vision-impaired users.  To add the font to your fonts list, click the fonts drop-down menu in the Google Docs toolbar, select More fonts, search for “Atkinson Hyperlegible,” select it, and click OK.

This feature is already available in Google Docs, Gmail, and other Google products. Visit the Google Help Center to learn more about using Smart Compose in Google Docs, Sheets, Slides, and Drawings.

You can now configure the Google Chat app to run at startup. Go to chrome://apps in your Chrome browser, right-click on Google Chat, and select "Start app when you sign in." If you don't have the Chat app already, you’ll first have to install the app.

You can select from three Google-made videos - a classroom, a party, and a forest - to set as your Google Meet background on iOS. More options will be available soon. You can now search for content inside a specific folder in Google Drive on iOS. Go to the folder you want to search within, select the search bar, and select the folder chip before typing your search query. Visit the Google Help Center to learn more about finding files in Google Drive on iOS.

When you create links to shared Microsoft Office files stored in Google Drive, they will now open directly in Google Docs, Sheets, or Slides. Previously, Office files would open in a preview mode first. Visit the Google Help Center to learn more about working with Office files in Drive.

The Google Chat emoji set is updated to the latest version (Emoji 13.1), reflecting the latest emoji set and diversity and inclusion options, including skin tone and gender. 

Google has launched a new Google Meet standalone web app. It is similar to the Google Chat app in that it is also a Progressive Web Application (PWA). The app has all the same features as Google Meet on the web but as a standalone app. Visit the Google Help Center to learn how to download and use the Meet progressive web app on your computer.

When responding to a Google Form while signed in to your U-M Google account, your progress will automatically be saved as a draft for 30 days from your last edit, or until your submission is complete. Form owners and editors can also deactivate this feature for responders to a specific form. Visit the Google Help Center to learn more about how to autosave your progress on a response to a Google Form.

Google has updated the current Google Tasks mobile app to display multiple lists at the same time in a tabbed view. To switch between task lists, select the title of the list or swipe left.

As a reminder, you can no longer use Google Meet on Internet Explorer 11 as of August 17. Please switch to another supported browser.

Now it’s easier to find and select theme colors in Google Sheets and Slides. The theme colors section is at the top color picker, and the “theme” placeholder shows the name of the theme. To select theme colors, go to any color picker drop-down and click the edit button for your theme color palette.

You can now enable dark mode for Google Chat on the web (chat.google.com) and the Google Chat Progressive Web App (PWA). Within the chat.google.com or the Chat PWA, go to Settings > Theme settings > “Dark mode.”

Google will notify you when they detect a notable echo from your system which may be heard by other call participants with a red dot on the three-dot “More options” button, along with a text notification. Clicking on the notification will go to the Google Help Center, where you can find recommended steps that can help prevent echo

When viewing your tasks in the "Tasks" tab in a Google Chat space, you can navigate back to the Chat message where the task was created or the task creation was indicated. Hover over the task on the web or select the task on mobile and then select the Chat.

You’ll now see in-line, sequential, context-aware suggestions for formulas and functions when working with data in Google Sheets.

Smart Reply automatically suggests quick responses to your messages, and it was first introduced in Gmail. Now, Google is bringing the feature to Google Docs comments. Smart Reply suggestions will appear below the reply box on comment threads in English. To turn this feature off, go to Tools > Preferences > Show Smart Reply suggestions in Docs. Reminder: Make the switch from Backup and Sync to Google Drive for desktop

As a reminder, Backup and Sync will no longer be available as of October 1. Google recently announced their timeline for transitioning users from Backup and Sync to Google Drive for desktop (formerly Google Drive File Stream). Drive for desktop allows you to sync local folders to Google Drive, sync files between your computer and the cloud, and upload files to Google Drive from external devices.

According to Google, the changes began on July 19, 2021, with the release of a setup wizard to help you transition to Drive for desktop. ITS recommends completing this transition as soon as possible. If you do not transition, you will continue to receive in-app notifications prompting you to transition to Drive for desktop until you do so.
