Who Can Use It?

All active faculty, staff, students, sponsored affiliates, retirees, and alumni on the Ann Arbor, Dearborn, and Flint campuses. (Michigan Medicine has elected not to use Mail or Calendar.)

Using the ITS Shared Drive Manager Tool

Shared drives are created, managed, and renewed annually through the ITS Shared Drive Manager tool.

Only active faculty, regular staff, and students are eligible to create and manage shared drives. Sponsored affiliates, temporary staff, alumni, retirees, Google Shared Accounts, and MCommunity groups cannot create or manage shared drives.

Shared drives have a 15GB storage limit in U-M Google and require two eligible Managers (i.e., faculty, regular staff, and students) to be assigned. You cannot request or purchase additional storage.

Refer to Shared Drives in U-M Google for more detailed information on creating, sharing, managing, and renewing Google shared drives.

Remember to add eligible Managers to your shared drives before you leave U-M. Shared drives that lose all eligible Managers (i.e., faculty, regular staff, and students) are deleted 90 days after losing eligibility.

Using the ITS Shared Account Manager Tool

U-M Google Shared Accounts allow teams to use a Google account for shared email and calendar access. They are managed and renewed annually through the ITS Shared Account Manager tool.

Only faculty and regular staff can request and own Shared Accounts. Students, sponsored affiliates, temporary staff, alumni, retirees, MCommunity groups, Shared Accounts, Friend accounts, and external (non-UM) users cannot request or own Shared Accounts. (If you are a student requesting a Shared Account for a student organization, your faculty or staff advisor must submit the request.)

Shared Accounts have a 15GB storage limit in U-M Google and require two eligible owners (i.e., faculty or regular staff) to be assigned. You cannot request or purchase additional storage.

Refer to Shared Accounts in U-M Google for more detailed information on requesting, accessing, managing, and renewing Google Shared Accounts.

Remember to add eligible owners to your Shared Accounts before you leave U-M. Shared Accounts that lose all eligible owners (i.e., faculty and regular staff) are deleted 90 days after losing eligibility.
